Privacy Policy

This Privacy Policy explains how SayWhen, LLC (“SayWhen,” “we,” “us,” or “our”) collects, uses, and shares information when you use the SayWhen mobile application and related services (the “Service”).
SayWhen is an independent product. It is not affiliated with, endorsed by, or an official product of the Georgia Institute of Technology (“Georgia Tech”).

1. Who this applies to
The Service is intended for adults 18 and older who reside in the United States and can verify a Georgia Tech–related email (students, recent graduates, or alumni, as we define eligibility). We do not knowingly collect information from anyone under 18. If you believe we have, contact us and we will delete it.
2. Information we collect
Account and verification: email address (including Georgia Tech email for verification), password (stored by our auth provider as a hash, not as plain text), date of birth, and account status (for example active, paused, suspended, or banned).
Profile: first name, photos you upload, sex, student status / year, major, height, written prompts, optional hometown and interests, and lifestyle or belief traits you choose to provide (such as relationship goals, kids, pets, diet, drinking, smoking, activity, religion, and politics). Some traits can be marked private so they are not shown on your public profile card.
Matching inputs: dating preferences (for example age and height ranges and importance weights), date availability time buckets, and rankings you submit during a round. Rankings are used for matching and product operation; we do not show other users who ranked whom.
By choosing to provide lifestyle, belief, or dating preference traits (including religion, politics, relationship goals, and similar fields), you explicitly consent to our processing of this sensitive information to provide the matching Service.
Dates and safety: assigned date details, in-app chat messages with your current date partner, check-in responses (including star ratings and optional notes), optional phone numbers if both parties opt into phone exchange, flake / no-show reports, appeals, emergency or safety cancellation reasons you submit for admin review, and blocks.
Device and notifications: Expo push notification tokens so we can deliver transactional notifications (via Apple / Expo’s push infrastructure).
We do not currently collect precise GPS location, contacts lists, or advertising identifiers for tracking across other companies’ apps. Photo library access is used only so you can choose profile photos.
3. How we use information
We use information to: create and secure your account; verify eligibility; build and show profiles; run weekly ranking rounds and date assignment; power date chat and check-in; send transactional push notifications (for example ranking windows, date reveal, chat, and check-in reminders); enforce safety rules, penalties, and appeals; review emergency excuses and reports; operate matching using the signals described below; and operate, debug, and protect the Service.
Matching uses profile traits, preferences, availability overlap, ranking behavior, and related scores described in our product materials. Internal “matches” (mutual rankings) are not revealed to users.
4. How we share information
Other users: people in your display set can see your public profile card (photos, first name, age derived from date of birth, and other non-private profile fields). Your assigned date partner can see that card plus shared availability context and chat. If both of you opt in after a date, phone numbers may be exchanged. Rankings and preference importance settings are not shown to other users.
Service providers: we use vendors who process data on our behalf, including Supabase (authentication, database, file storage, realtime chat), Expo / Apple push notification services, and our matching worker host (currently Railway). They may process data in the United States or other countries where they operate.
We do not currently use third-party product analytics SDKs (for example PostHog, Mixpanel, or Firebase Analytics) to track screen views or button clicks. If we add an analytics provider later, we will update this Policy and list that vendor here.
Legal and safety: we may disclose information if required by law, to protect rights and safety, or to investigate abuse, fraud, or violations of our Terms.
Business transfers: if we sell or transfer assets related to SayWhen, information may move with that transaction under appropriate confidentiality.
We do not sell your personal information, and we do not share it for cross-app targeted advertising.
5. Retention
We keep account and profile data while your account is active and as needed for safety, disputes, and legal obligations. When you re-enter a new weekly pool, prior date chat is soft-deleted so it is no longer shown in the app; those records may still exist in our systems for safety reviews, abuse investigations, and dispute resolution until they are removed. Push tokens are updated when you reinstall or change devices.
You can delete your account in the app (Account → Delete account). You may also email saywhen.dating@gmail.com to request deletion, and we will process that request. Deletion permanently removes your auth account and cascades removal of personal data tied to it (profile, photos, preferences, chat, and related account records). We may keep a de-identified hash of your verified email; if the account was banned, that hash is used to block the same email from creating a new account. We may also retain information when required by law.
6. Security
We use industry-standard safeguards appropriate to a small dating product (encryption in transit and at rest via our hosting providers, access-controlled database rows including rankings, private photo storage with short-lived signed URLs, and hashed passwords via our auth provider). In-app chat messages are encrypted in transit and at rest, but are not end-to-end encrypted — our administration tools can read chat transcripts when reviewing dates, reports, or safety issues. No method of transmission or storage is 100% secure.
7. Your choices
You can edit profile and preference data in the app, pause participation (“Take a break”), control notification permission in iOS Settings, and delete your account in the app (Account → Delete account). You can also email saywhen.dating@gmail.com to correct information or to request account deletion.
If you are a California resident, or a resident of another US state with similar privacy laws, you may have rights to know, delete, and correct personal information, and to opt out of “sale” or “sharing” as those terms are defined under applicable law. We do not sell personal information. To exercise privacy rights, use in-app account deletion or email us. We will not discriminate against you for exercising those rights.
8. Children
The Service is 18+ only. We do not knowingly collect data from children under 13 (or anyone under 18).
9. Changes
We may update this Policy. We will change the effective date above and, for material changes, provide additional notice in the app or by email when appropriate. Continued use after the effective date means you accept the updated Policy.
